Minutes of the meeting of the Suffolk Concert Band held on

Thursday 1st October 2009 at 4 Ogden Grove, Kesgrave

 

Those present were: Angela Hope, Roger Jones, Gordon Scopes, Trevor Daldry, Russell Banyard, Simon Pulham, Tom Rumbold, Mark Cheadle.

 

76.    Apologies for absence

These were received from Toby Hope.

 

77.    Adoption of minutes of meeting held on Thursday 3rd September 2009

The minutes were adopted.

 

78.    Matters arising from meeting held on Thursday 3rd September 2009

There were no matters arising.

 

79.    Rehearsal Venue

The venue at Alstons was discussed:

Minimum 3 year lease of £3000 + VAT per year. Business rates would be £1818.75 for year but being a registered charity would qualify for an 80% reduction, leaving a balance of £363.75. No change of use would be required. Other outgoings would be; heating (electric), lighting, general maintenance, flooring, chairs and kitchen. We would not need to apply for change of use. Buildings and contents insurance and a risk assessment would be required.

 

The committee agreed that the project would be financially viable for the band.

 

Jobs to be done before rehearsal on 21st October:

·       Building cleaned  – Trevor

·       Heating - Trevor

·       Chairs  – Simon

·       Tea, coffee and nibbles – Angela

Working party to set up venue on 20th October at 2.15pm.

 

80.    Publicity

·       Spa Pavilion

Posters are now done and Simon has distributed some to shops on Hamilton Road. Simon suggested that we could get flyers put in other group’s programmes next year for the concert series at the Spa Pavilion.

 

·       Christmas Concert

Tom is working on the poster.

 

81.    Insurance

The updated band inventory is nearing completion.

 

82.    Uniform

Angela has found a company called JKL clothing who can supply us cotton rich short-sleeved shirts for both men and women in the range of sizes that the band require.

85.    Secretary

i)        Landguard Fort – have invited us to do the carol service on 12th December 2009. The committee agreed that we are fully booked this year.

ii)       Holy Trinity’s 175th birthday celebrations – they have offered dates of 13th March, 20th March or 24th April. Committee agreed to 24th April. They would like the programme to be “Last Night of the Proms” or popular music through the ages.

iii)     Barham Hall  - now confirmed for 27th June 2010.

iv)     Two CDs sold to fan in the US for $20.

 

86.    Treasurer

One sub is outstanding.

 

87.    Membership Secretary

i)      Potential new members Gary (Trombone) and Paula (Oboe) will be invited to have a 3 month trial. Steve (Tuba) has offered his services as a guest player when required.

 

ii)       Gordon suggested that we include soloists at our concert series at the Spa next year.

 

88.    Librarian

i)         Simon is arranging the loan of Brigadoon to the Abbeygate Concert Band in Colchester.

 

ii)       Shotley Church has requested we play Eternal Father instead of O’Valiant Hearts at the Remembrance day service.

 

89.    Concert Manager

Nothing to report.

 

90.    Forthcoming Events

·       Sunday 18th October 2009 – Spa Pavilion, Felixstowe

i)      Mike Kwasniak will do photo. £50 all-in including digital file of band. Is willing to sell 12x8 prints to band members for £6.50 and donate £1 back to band for every photo sold.

ii)     Angela to send complimentary tickets to friend of Pat Woods.

iii)   Roger will do a programme, which will include list of band members.

iv)   Russell will set up at 12.30pm. Rehearsal at 1.30pm. Photo at 2.00pm.
