Minutes of the meeting of the Suffolk Concert Band held on

Thursday 4th June 2009 at Acton Lodge, Needham Market

 

Those present were: Angela Hope, Simon Pulham, Tom Rumbold, Toby Hope, Roger Jones, Gordon Scopes, Trevor Daldry.

 

30.    Apologies for absence

These were received from Russell Banyard and Mark Cheadle.

 

31.    Adoption of minutes of meeting held on Thursday 7th May 2009

The minutes were adopted.

 

32.    Matters arising from meeting held on Thursday 7th May 2009

There were no matters arising.

 

33.    Publicity

i)        Spa Pavilion – the committee agreed to pursue the idea of three concerts next year. Angela has already contacted the Spa with regards to dates. Martin Bell will be invited to compere. Toby will do posters.

 

ii)       Music on the Hill – Roger will liaise with Lucy Lennard regarding posters.

 

iii)     Christmas Concert – Toby suggested that we play carols in the town centre to advertise this concert. Gordon will find out how we go about getting permission to do this. It was also suggested that we advertise this as a carol concert and invite guests such as the Gippeswyk Singers.

 

iv)     Toby will arrange a photographer for Elmhurst Park.

 

v)      Tom suggested we produce a flyer to put into other societies programmes.

 

34.    Insurance

Agenda item for next meeting.

 

35.    Uniform

The result of the ballot to purchase uniform for members split the band approximately 50/50. The committee agreed that we should buy shirts and bowties for all members. The shirts will be cotton rich and there will be different styles for men and women. The uniform as a whole will be reviewed in 2017 as previously agreed.

 

36.    Chairman

Trevor apologised for his absence due to work commitments.

 

37.    Musical Director

Nothing to report.

 

38.    Secretary

i)        Little Bentley Garden and Waterways Show – the committee agreed that we should do 2x45 minute session on the afternoon of Sunday 6th June 2010.

 

ii)       Elmhurst Park have asked if we can collect the chairs from the community hall with the band trailer.

 

iii)     Angela reported that she is still working on the new website. The existing website has been renewed at a cost of £55.89 because notice was required. The committee agreed to this expense. This means that the existing website will remain live until the new site is ready.

 

iv)     Holy Trinity will be giving us a second set of keys for the hall in due course.

 

v)      Angela has received a booking form for St. Marys, Woodbridge.

 

vi)     The committee would like to record their thanks to Clare Rodger for the competition/feedback forms that she has produced.

 

vii)   Tom asked for permission to borrow the bass drum for one week from 24th June. The committee agreed.

 

39.    Treasurer

i)        Tom has researched glockenspiels and the committee agreed a budget of up to £900. It was agreed that Mark should go ahead and order Tom’s recommendation.

 

40.    Membership Secretary

i)         Julian (trombone) has been given a membership form.

 

ii)         Attendance at rehearsals has been poor once again and members are not letting Gordon and Roger know that they will be absent. Gordon will address members about this.

 

41.    Librarian

i)         The committee agreed that we would like to reintroduce the repertoire pad.

 

ii)       The library move will start Tuesday 9th June.

 

iii)      “The Cowboy’s” by John Williams and “The Waltzing Cat” by Leroy Anderson, have been purchased.

 

42.    Concert Manager

Trevor will leave the trailer at Holy Trinity overnight on Wednesday and collect it on Thursday morning. Angela will inform the Church that this will be happening.

 

43.    Rehearsal Venue

Gordon is awaiting a reply from Trinity Park. He will also enquire about Henley Community Centre.

 

44.    Forthcoming Events

·       Friday 10th July 2009 – Stoke By Nayland Church

Simon reported that there will be adequate space at the front of the church for the band and the front pews can be removed .

 

·       Sunday 2nd August 2009 – OCA

The committee agreed that this should be the last year that we participate in Minden day as it is 50 years this year since the Suffolk Regiment disbanded.

 

·       Friday 12th June 2009 - Pat Wood’s Funeral

This is likely to be a brass band and the band will be required to wear uniform. There will be a rehearsal at 9.20pm next Wednesday.

 

44.1. Other Events

Gordon suggested Copdock bike show as a possible event.
