Minutes of the meeting of the Suffolk Concert Band held on
Thursday 7th May 2009 at 75 Chatsworth Drive, Ipswich
Those present were: Angela Hope, Gordon Scopes, Mark Cheadle, Simon Pulham, Tom Rumbold, Russell Banyard, Trevor Daldry.
15. Apologies for absence
These were received from Roger Jones.
16. Adoption of minutes of meeting held on Thursday 2nd April 2009
9)i) “James Leverage” should read “James Leveridge”
17. Matters arising from meeting held on Thursday 2nd April 2009
i) (13)i) Regarding the competition form, Simon reminded the committee that we should try not to have meetings via email. The committee agreed that Clare Rodgers is a trustworthy member of the band to store the data received and claim any reasonable expenses that she incurs.
ii) The committee was saddened by the loss of Pat Wood. It was agreed that if required the band would be available for her funeral.
18. Uniform
Trevor will do a ballot to determine if purchasing new uniforms for members (trousers, shirt, bowtie etc.) is worth pursuing.
19. Website
Ideas for new website:
· Gallery
· Diary to include year and music that will be featured
· Online shop
· Music clips – licence required
20. Chairman
Trevor reported that he is still frustrated that members are not helping to clear up after a concert and intends to address the band about this once again.
21. Musical Director
After a poor audience at the Holy Trinity concert on 6th May the committee discussed why this might have been:
· Football on the TV
· Choice of music – a number of audience members commented that there were too many unknown pieces of music in the programme
· Volume of the band
· No publicity – this will be a main agenda item at the next meeting.
22. Secretary
We have been invited to play at the harvest festival at Little Bentley Church on 10th October 2009. The committee agreed that we are fully booked for 2009.
We have been invited to play at the Little Bentley Waterways and Garden Show on either 5th or 6th June 2010. The committee decided that they would be interested but would require more details.
23. Treasurer
i) Band insurance is up for renewal – this needs to be an agenda item at the next meeting.
ii) Newsletter photocopying £8 – the committee agreed this expense.
iii) Advert in Ipswich24 magazine £100 – the committee agreed this expense.
iv) Mark is updating the signatories for the band accounts and requires a photocopy of the driving licence and passport of all trustees.
v) Tom asked if he could borrow the timps between the rehearsals on 13th and 20th May. The committee agreed. Mark will sort out the loan forms.
vi) The percussion section requires a new glockenspiel and triangle stand. Tom will liaise with Don Young about these purchases. The committee agreed that a new glockenspiel would a good way to honour Pat Wood.
vii) Simon requested that we purchase a new conductor’s score for Flight of the Tees costing £9.00. The committee agreed.
viii) Simon intends to move the photocopier to his house. If it still does not work correctly then we will need an Engineer to have a look at it.
24. Membership Secretary
i) Kate Worms (Bass Clarinet) and Heulwen Livesey (Trumpet) are now members. Adam Leith (percussion) has been given an application form.
ii) The committee felt that we need to be actively looking for another horn player.
iii) Tom is currently sorting out the clarinet rota.
25. Librarian
i) Simon is currently sorting out a date for the library move.
ii) Another box of music has now been returned from Sarah.
iii) The committee agreed that we should reimburse the Phoenix brass band for the missing carol books.
26. Concert Manager
Nothing to report.
27. Rehearsal venue
Gordon will enquire about Trinity Park at the Suffolk Show ground.
28. Publicity
i) Gordon has sent 112 flyers to the people on the brass band mailing list
ii) Posters are required for the Spa Pavilion, Music on the Hill and the Holy Trinity Christmas concert.
iii) The committee discussed the possibility of asking Martin Bell to compere at the Spa Pavilion.
29. Forthcoming events
29.1. Other events
i) The committee discussed the possibility of doing three concerts at the Spa Pavilion in 2010; a Sunday afternoon in spring (April), a Saturday evening in summer (July) and a Sunday afternoon in autumn (October). Angela will contact the Spa regarding this.
ii) Possibility for a concert at Castle Hill for Christmas 2010.
