Minutes of the Meeting of the Suffolk Concert Band held on

Thursday 2nd April 2009 at 82 Goring Road, Ipswich

 

Those present were: Angela Hope, Trevor Daldry, Roger Jones, Tom Rumbold, Mark Cheadle, Russell Banyard, Toby Hope, Simon Pulham, Gordon Scopes.

 

1.       Apologies for absence

There were no apologies.

 

2.       Adoption of minutes of meeting held on Thursday 5th February 2009

The minutes were adopted.

 

3.       Matters arising from meeting held on Thursday 5th February 2009

There were no matters arising.

 

4.       Charity Concerts

Two suggestions were made regarding future charity concerts:

i)      A concert in 2010/11 at the Royal Hospital School, raising money for another charity (not RHS). Roger will pursue this with the school and Gordon with the Heart Foundation.

 

ii)     To make the concert this year at Stoke by Nayland a charity concert.

 

5.       Chairman

Trevor thanked and welcomed the new committee and also those who stood down at the AGM. Toby was thanked for his hard work as the previous chairman.

 

6.       Musical Director

Roger told the committee that they have his full support.

 

7.       Secretary

The website hosting is due for renewal in May and Angela suggested that we move to a different company and has one in mind called Mr Site. This will cost £17.99 for the first year and £35.88 per year after that. We are currently paying £34.83 per year. The committee agreed and website content will be an agenda item at the next meeting.

 

8.       Treasurer

i)         No report as the handover is still taking place.

 

ii)       Angela requested reimbursement for the cost of cleaning a jacket (£8.10) and the postage for sending the uniform samples back (£4.20). The committee agreed.

 

9.       Membership Secretary

i)      James Leverage has not yet returned his membership form but has been reminded. He does have a jacket.

 

ii)     Kate Worms will be joining the band on bass clarinet.

 

iii)   Gordon would like to complete the engagement notices from the front and then approach individuals at rehearsals. He requested the full support of the committee. The committee agreed

 

iv)   Tom and Toby to sort rotation of the clarinet section.

 

v)    Trevor reiterated that there is a Tuba vacancy.

 

10.    Librarian

i)         Simon thanked Mandy for the wonderful job she is doing.

 

ii)       The library move will take place in early May. FADOS need to be notified. Mandy has acquired some archive boxes from Willis. Additional shelving will be purchased if required once the library has moved.

 

iii)     Simon requested a music budget for 2009. The committee agreed to £500.

 

iv)     Tom suggested that the band becomes a member of the Colchester Institute Music Library. The library is very extensive so that we can try out music before we buy. Tom will investigate further.

 

11.    Concert Manager

i)         Russell now has the keys for Holy Trinity. Angela will ask Holy Trinity if we can make a duplicate set.

 

ii)       Russell asked how much the trailer weighs because he is concerned that his car will be unable to tow it. Trevor offered to tow the trailer for the concerts that he is doing.

 

iii)     Russell will be away for the concerts at Holy Trinity, Stoke by Nayland and Music on the Hill.

 

iv)     Trevor is currently awaiting some foam to refurbish the banner box.

 

12.    Rehearsal Venue

Simon will sound out a member of Holy Trinity to find out where we stand with regards to our agreement with them.

 

13.    Publicity

The following suggestions have been made to improve publicity:

i)        Clare Rodgers has suggested that we add a form to the concert programme for members of the audience to complete so we can compile a mailing list. A prize draw will be offered as an incentive.

 

ii)       Invite a VIP compere for the concert at the Spa Pavilion.

 

iii)     Investigate the possibility of getting a marketing company to sell a concert for us.

 

iv)     Ads in free papers/magazines such as the Advertiser and Ipswich24.

 

v)      Toby will arrange a new photograph to be taken at possibly Elmhurst Park and/or Barham Hall.

 

14.    Forthcoming Events

·       Saturday 13th June 2009 – Elmhurst Park, Woodbridge

Posters have been done for this concert. A number of members also have other engagements in the evening on this day so we may require some guest players.

 

14.1. Other Events

Toby suggested that have “Music at the Farm” at Jimmy’s Farm and will investigate further.
