Minutes of the Meeting of the Suffolk Concert Band held on
Thursday 4th December at 75 Chatsworth Drive, Ipswich
Those present were: Angela Hope, Trevor Daldry, Mark Cheadle, Simon Pulham, Mandy Chinery, Toby Hope and Gordon Scopes.
100. Apologies for absence
These were received from Ray Wilson.
101. Adoption of minutes of meeting held on Thursday 6th November 2008
The minutes were adopted with the following correction:

102. Matters arising from meeting held on Thursday 6th November 2008
There were no matters arising.
103. Chairman
i) Toby reported that there has been very little interest from band members regarding committee positions next year.
ii) Simon reported that he has been overwhelmed with the support he received from the band during his recent illness and would like to pass on his thanks to everyone.
104. Musical Director
104.1. MD Review
The committee agreed that they would like to invite Roger to continue as Musical Director for another 3 years commencing September 2009 but would like to discuss the following points with him at the next committee meeting:
· Aims of the Musical Director
· Trustee only meetings
· Band/musical discipline
· Better organisation of music, more pro-active Librarian
· Reintroduction of a repertoire pad
· Guest conductor in 2010 for minimum of 8 weeks
· Guest players at rehearsal and concerts
105. Secretary
i) Eastbourne the dates we selected are no longer available.
ii) Christmas concert, Shotley Village Hall - Saturday 5th December 2009. The committee agreed that we will not be available in 2009 but we would be in 2010.
iii) Christchurch Park Sunday 2nd or 16th August 2009. The committee agreed that neither of these dates were suitable.
iv) Elmhurst Park the committee suggested 13th June or 18th July 2009 as suitable dates for this concert.
v) Paul Blofield has requested some help with tea and coffee when Angela is not available. Mandy will ask the flute section if they could help.

ii) The committee authorised the following two items of expenditure:
· Dry cleaning of spare band jacket (Trevor Daldry) £8.00
· Purchase of self-inking stamp for librarian (Ray Wilson) £27.66
The committee agreed to the expenses.
iii) Don Young has purchased a piece of percussion kit worth approximately £20.00 and has asked if the band would like to buy it. The committee agreed to this expense.
107. Membership Secretary
i) Mike Thomas will return to the band in the Summer
Linda Tucker will return to the band in August/September
Terry Harding will be leaving the band after Christmas but will be available if required
Marion Singleton will return to the band in the New Year
Heather Ferguson will return to the band in the New Year
Sarah Scott Gordon or Mark will contact Sarah to find out her intentions
ii) Gordon has contacted a cornet player called Guy Nicholls.
iii) James Leverage (percussion) will be given a membership application form.
iv) A presentation will be made with the new banners at the Holy Trinity concert so that a photo can be taken and sent to Mr and Mrs Warren.
108. Librarian
Mandy passed on the following concerns and plans in the role of support librarian with Simon:
· The photocopier is not working and ideally needs to be plugged in at all times.
· The library at FADOS is ok and in the condition she would expect.
· Some music has been returned by Sarah and Mandy is currently sorting that out and finding what is still missing.
· Some packing boxes have gone missing from FADOS
· There are no carol books at FADOS
· The librarian should have more input into the choice of music of the pad
· Members are being asked for requests for next year
· More research about music will be done i.e. planning music according to particular anniversaries and dates
The committee agreed that Simon and Mandy have their full support.
108.1. Library Move
The library move will happen in the Spring.
109. Concert Manager
Nothing to report.
110. Rehearsal Venue
Gordon is currently investigating a brand new venue in Pinewood. It is likely to be available on a Wednesday evening, will cost £20 per hour, has a car park and a small storage area. He is currently waiting to hear for an appropriate time to go and visit.
111. Uniform
New jackets from Handleys will cost £172.25 + VAT + carriage. Any jacket in excess of 48 adds 5% to the cost. It will also be possible to get a supply of buttons and badges for existing jackets but dont yet have a price for these.
