Minutes of the meeting of the Suffolk Concert Band held on

Thursday 12th June 2008 at 87 Oulton Road, Ipswich

 

Those present were: Angela Hope, Gordon Scopes, Trevor Daldry, Roger Jones, Ray Wilson, Toby Hope.

30.    Apologies for absence

These were received from; Sarah Scott, Mark Cheadle, Marion Singleton.

 

31.    Adoption of minutes of meeting held on Thursday 10th April 2008

The minutes were adopted.

 

32.    Adoption of minutes of meeting held on Thursday 1st May 2008

The minutes were adopted with the following correction:

22)iii) “Hanleys” – should say “Handleys”

 

33.    Matters arising from meeting held on Thursday 1st May 2008

22)iii) Don Young has sent a sample banner to Handleys and they have quoted £49.00+VAT per banner.

 

The committee agreed to purchase 15 new banners and a banner for the conductor’s stand.

ACTION: Trevor and Don to arrange the order for the banners.

 

34.    Chairman

St. Peter’s Church – 40 members voted for the proposal to rehearse at the church. The majority were against the proposal. The main reasons being parking, band identity and storage. Toby summed up that although there some benefits of rehearsing at St. Peter’s there were still another set of problems when compared to Holy Trinity.

 

ACTION: The following committee members will investigate rehearsing at the following venues:

Ray - Christ Church, Tacket Street

Gordon - Rushmere Community Centre

Toby - Ravenswood Community Centre

Angela – Kesgrave Community Centre

Trevor – Martlesham Community Centre

 

35.    Musical Director

i)        Roger would like to have an article about the band in a new magazine called “Simply Suffolk”. The magazine costs £1.50 and has a distribution of 10,000. A 2-page spread would cost £250+VAT. The committee agreed to this and this would be the publicity budget until the end of the year. The committee also decided that we should always set a publicity budget for the year of £500.

 

ii)       Roger has designed a poster for the Market Hill concert, which Lucy Lennard has agreed to print and distribute.

 

iii)     Roger has researched the possibility of a band tour to Belgium. He proposes the trip takes place from May 23rd – 26th 2009. The trip would include a coach, trailer, 3 nights’ accommodation, 2 concerts and some excursions. This would cost a maximum of £400 per person but Roger is awaiting a quote from the tour company. The committee agreed that the trip could be subsidised by band funds.

The August break this year will be from 6th – 20th August inclusively.

ii)       We have accumulated rather a lot of dosh in our bank accounts. At present we have just over £4000 in hand. I recommend that we transfer a further £1000 to the Treasury Tracker account which earns a higher rate of interest than the bank accounts. We retain £3000 in our bank accounts which is more than enough for our immediate needs.  The committee agreed.

 

iii)        Following the suggestion of the committee in April to find outlets to sell our CDs, we need to decide what discount to offer such outlets.  The committee agreed that we should sell the Regimental CDs for £6.00 and the Trafalgar CDs for £2.50.

 

iv)       Geoff Webb helped us at the Elmhurst Park concert on Saturday May 17. I offered Geoff the usual £20 as a guest player which he politely declined. I have invoiced the Hearing Care Centre Ltd for £200 as the agreed fee for the concert. This payment has now been received.

 

v)         Following the decision at the April committee meeting to buy more stands, my records show that in 2006 we ordered 20 stands in black from Jack White’s at £20 each including VAT and carrying cases. Can we repeat this order? The committee agreed. 20 stands have now been purchased at a cost of £10 each.

 

vi)     St. Peter’s Church have now invoiced us £35 for the rehearsal we had there.

 

38.    Membership Secretary

i)        Mike Thomas has decided to leave the band as he does not wish to let the band down because of ongoing health problems.

 

ii)       With two committee vacancies announced, Chairman and Treasurer, Gordon suggested that the committee post a notice on the board requesting volunteers, stating that any member interested can have a job description to study prior to applying.

 

iii)     Gordon reported that there has been poor attendance at rehearsals over the last couple of weeks.

 

iv)     Claire English (alto sax) has asked if she can play with the band while she is on summer break from university.

 

39.    Librarian

39.1. Library

i)        Once again concerns were raised about the state of the library at FADOS House. Roger would like to see a working library stored at Holy Trinity and the rest of the music to be archived.

ACTION: Angela to arrange a meeting between the committee and Holy Trinity to discuss storage.

 

ACTION: Trevor to arrange collection and delivery of the photocopier from Mandy’s to Holy Trinity.

 

ii)       Toby reminded Roger about the Christmas carol books.

42.    Publicity

43.    Forthcoming Events

·       Sunday 29th June 2008 – Open Gardens, Barham Hall

It will be possible to leave a locked trailer and rehearse at Barham Hall between the two concerts. However, the committee agreed that this was not really suitable after all. David Bolton has been booked to play.

 

·       Saturday 12th July 2008 – Last Night of the Proms, Barham Hall

The format of this concert will be 7-10pm with a break at 8.30pm. Mark Cheadle and Sarah Scott may be late as they are playing elsewhere during the day.

 

·       Monday 8th December 2008 – Needham Market Community Carol Service

The date of the carol service has now changed to 15th December.

 

43.1. Other Events

St. Clements Church would like us to play in the carol service at 6.30pm on Sunday 20th December. The committee agreed.
