Minutes of the meeting of the Suffolk Concert Band held on

Thursday7th June 2007 at High Corner Cottage, Butley

 

Those present were: Angela Bates, Simon Pulham, Trevor Daldry, Roger Jones, Sarah Scott, Gordon Scopes, Toby Pratt.

 

44.    Apologies for absence

These were received from Mark Cheadle, Ray Wilson and Marion Singleton.

 

45.    Adoption of minutes of meeting held on Thursday 3rd May 2007

The minutes were adopted with the following correction:

39)iii) To get ex-uniforms from the army would cost £250 per jacket.

 

46.    Matters arising from meeting held on Thursday 3rd May 2007

i)       The new uniform sub-committee has not yet had the opportunity for a meeting but this is a work in progress.

 

ii)      Music for Nottingham has now been purchased and is in the pads.

 

47.    Chairman

The EGM for the revised constitution will be on Wednesday 27th June.

 

48.    Musical Director

i)       Roger reported that he will be using a mix of yellow and blue pad music for Barham Hall. Music for Nottingham can also be played at Woodbridge and Stowmarket. The organisers of the Battle of Britain concert do not want The Dambusters or 633 Squadron. We will be short of tubas and percussion at Woodbridge.

 

ii)      The committee agreed that the band will not rehearse on 1st, 8th, 15th and 22nd August and will return on the 29th. There will not be a committee meeting in August.

iii)    Clem Cocker spoke to me at a recent rehearsal regarding a clarinet which Ruth may wish to sell. The asking price is £950. Clem has asked whether the committee would consider purchasing the instrument from Band funds and allow him to pay back the sum over a period of time (hire purchase, in effect). I also spoke to Ruth who says that the clarinet has great sentimental value for her – she is not yet completely determined to sell it.

    

Since it is by no means certain that Ruth will sell the clarinet, I nevertheless feel that it would be helpful for the committee to consider and discuss the principle and, if it is in favour, to determine the practical details. 

In general the committee felt that this would be something we could do. One point made was that this would essentially mean that a member would directly benefit from the charity. The committee agreed that a solution would to ensure a contract was written up ot ensure ownership remained with the band until the debt was paid off.

iv)    I am still investigating the practicalities of applying for a grant from Awards for All. One thing seems clear – no recent grant has exceeded £5000.

 

v)     We now have the Trafalgar CDs to sell at forthcoming gigs. It would be helpful if we could obtain a card table or something similar on which we could display the CDs at concerts. A small table like this would be easily transportable. I don't know the cost but I don't think it would break the bank. Would the committee approve such a purchase, please.

 

The committee agreed this expense up to £30.

 

vi)    Roger has purchased new music for Nottingham at a cost of £330. The committee approved this expense.

51.    Membership Secretary

i)         Gordon reported that attendance has been poor at rehearsals over the last few weeks.

 

ii)       Mike Thomas has missed three rehearsals, Gordon will phone to check everything’s ok.

 

iii)      New flute player will be given a membership application form.

 

52.    Librarian

i)       Mandy Chinery would like to give up the band photocopier as she needs the space. The committee agreed this can be kept at Holy Trinity. Simon will arrange this with Mandy.

 

ii)      Mandy has also expressed a concern at the state of the music that is at Holy Trinity, due to people rummaging through the boxes. New shelving is required.

 

53.    Concert Manager

i)       David Brunning and Mike Thomas have outstanding payments for Nottingham. Gordon will speak to Mike and Sarah will talk to David.

 

ii)      Gordon will arrange for the coach to Nottingham to be loaded at 8.00am, ready to leave by 8.30pm. There will be a rehearsal in Nottingham at 2.00pm. The concert starts at 7.30pm and will be in three 40 minute sections. We will use Nottingham percussion and just take the extra bits we need. We will be leaving Nottingham at 12.00pm (check out time), Trevor will confirm this.

 

54.    Publicity

The posters for the Spa Pavilion will be required 6 weeks before the concert (early September).

 

55.    Recording

Adrian Budgen has edited the music for the recording but it still needs some final touches. Roger felt that it was generally very good. The track listing and the sleeving now need to be completed.

 

56.    Forthcoming Events

·         Sunday 29th July 2007 – OCA

We do not have a big enough band to do a lunchtime concert. The committee agreed that we probably never will due to the time of year.

 

·         Saturday 1st September 2007 – Music on the Hill, Woodbridge

Lucy Lennard has asked what will happen with regards to payment if the weather stops the concert going ahead. The committee agreed that this would be negotiable.

 

56.1. Other Events

The committee agreed to Wednesday 5th December as a date for a concert at St. John’s Church, Felixstowe. The concert would have a 7.45pm start. Simon will confirm this with the church.
