Minutes of the meeting of the Suffolk Concert Band held on
Thursday 3rd
March 2005 at Holywells Cottages, Cliff Lane, Ipswich
Those present were: Angela Bates, Gordon Scopes, Simon Pulham, Trevor
Daldry, Sarah Scott, Toby Pratt, Roger Jones, Mandy Chinery.
1. Apologies for
Absence
These were received from Deidre Gordon and
Mark Cheadle.
2. Adoption of the
minutes of the meeting held on Thursday 3rd February 2005
The minutes were agreed.
3. Matters arising
from the meeting held on Thursday 3rd February 2005
There were no matters arising.
4. Chairman
Simon welcomed the new committee. He reminded
the committee that we do not have a Treasurer but proposed that we co-opt
Deidre Gordon as acting Treasurer. The committee agreed. There is the
possibility that if we are unable to find a willing member to take on this
position then we may have to employ someone. We require a job description for
the position outlining the main tasks and responsibilities.
4.1.
Proposed Amendments to Constitution
This is ongoing and will
remain an agenda item for the next meeting.
5. Musical Director
Roger said that it was disappointing that we
had to cancel the first of the Concert Series due to the bad weather. As the
attendance will not be very good for the Studio recording next week he will be
bringing along two cornets and a tenor sax player from RHS.
It was agreed that the rehearsal on 23rd
March will be held at RHS.
6. Secretary
Correspondence this month:

Monthly letter from the Ipswich Arts Association

Email from David Adcock offering payment for any old instruments we
have. There is an old Tuba that is surplus to requirements that we can offer.
7. Treasurer
Reported by email via Angela.
£100 has been received from Landguard Fort
for Christmas 2003.
£2080.18 returned from the Halifax guarantee
account during February has been placed into the bonus saver account, which
produces about 1.5%less interest than Halifax. It can stay there or be
re-invested in Halifax if two new signatories take responsibility for being
registered at Halifax and arranging the investment. This needs to be the
Treasurer &/or Secretary &/or Chairman &/or one other Trustee. This
will be discussed at the next meeting.
The Farthings are now paying the GAYE scheme
contribution again. Gordon to check about James’ subs. Deidre still has a query
regarding a shortfall in their payments last year.
In total the band photo has cost £58. Gordon
proposed that we pay for this expense, the committee agreed. We will offer
members the opportunity to buy copies at a cost of £5.
Gordon reported that he has been steadily
receiving subs and will remind the members about the deadline for the discount.
Simon proposed that it would be good to a
send a representative of the band to BASBWE in the future and proposed that we
sponsor them £150. The committee agreed.
Angela reported that Don Young has asked if
he can store his tubular bells and vibraphone at Holy Trinity. The committee
agreed that he could but they would not be covered by the band’s insurance. Don
needs to write a letter asking if he can keep them at Holy Trinity and make
them available to the band but retain ownership.
8. Membership
Secretary
Gordon reported that he is waiting for
membership forms from Marion Singleton and Joy Settle.
Edward Leech, the oboe player who was going
to dep at the Holy Trinity concert, requires payment for the rehearsal before
the concert. He will be asked if he would like to join the band.
Angela still needs to call Rebecca Darlow.
9. Librarian
Roger has supplied a list of music that we
will be in the pads after the Ardleigh Concert in April.
Faber music have an end of season sale
offering music at £20 per set and if you order 5 sets then you get one free.
The committee agreed that we should take advantage of this offer.
Mandy reported that Sue Carter could possibly
become the wardrobe mistress. Mandy will be ordering two new jackets for Andrew
Farthing and Simon Cutts.
10. Concert Manager
The new trailer will be stored at Poplar
Farm, Ashbocking.
11. Publicity
Nothing to report.
12. Rehearsal Venue
Toby has yet to approach Orwell Church. Still
investigating the possibility of carpet in Holy Trinity.
13. Recording
We have received further donations of £35
from the OCA.

This has now been confirmed and the concert will start at 7.30pm. Roger will aim to do two 35-minute halves and aim to finish by 9.00pm. Angela to write to Alan Morris confirming the details. Gordon to get a quote for a coach.

14.14. Other Events
Andrew Farthing has
suggested that we do another concert at Suffolk College as before. 21st
October has been suggested as a possible date.
Trevor has been asked by the
Salvation Army in Woodbridge if we could do a fundraising concert.
Gordon suggested that we
contact Castle Park in Colchester for a possible open-air concert.
Angela has been asked if we
could play in Christchurch Park on a Sunday afternoon in July for £250. The
committee agreed that we could do this on 3rd or 10th
July.
15. Any Other
Business
Trevor asked if “stand etiquette” could be
addressed both at rehearsals and concerts.
Mandy thanked Jane Walker on behalf of the
committee for organising the dry cleaning of the band jackets.
The case for the Tuba has been sent back
because it was too small. Trevor has now taken on the responsibility of
purchasing a new case.
